ACROSS Executive Assistant – Part-time

IRD is a public French scientific and technological institution that has been working for 75 years in Southern countries. Its research, expertise, valorization and training activities aim at contributing to the economic, social and cultural development of the South. IRD in Vietnam represents about 10 researchers (annual average) posted in various institutions, 5 permanent local staff, and 40 temporary staff. The partnership instruments managed by the representative office of IRD include an International Mixed Unit (UMI 209 UMMISCO) and five International Mixed Laboratories (LOTUS, DRISA, LE_CARE, LUSES and ACROSS).
The position will be located in the premises of ACROSS, in Thuyloi University (TLU), Hanoi. ACROSS (for “Advanced Computational Research for Sustainability Science”) is an international laboratory, jointly established by IRD,TLU and other partners to design modeling and simulation tools in support of a scientific approach to sustainability in the management of irrigation systems in Vietnam. ACROSS promotes a progressive, problem-oriented methodology to organize the contributions of scientists, students and practitioners on two main case studies (Bac Hung Hai in the Red River Delta and Duc Hoa in the Mekong Delta). ACROSS also serves as a hub and host for several projects in modeling and sustainability science.

Mission and tasks

The Executive Assistant works in close connection with the two directors of ACROSS, Dr Alexis Drogoul, IRD, and Pr Nguyen Ngoc Doanh, in order to contribute to a better integration and greater efficiency of the research conducted in ACROSS.
He/she will accompany the team and its partners on both daily tasks and long-term missions, on aspects related to administration (interface with IRD and TLU administrations, budget reporting, visa for foreign researchers, management of interns and members, travel arrangement), management (organization of regular team meetings, note taking during meetings, …) and communication (feeding the website with news, drafting summary notes of important events, organization of events).

Location

The position is located in Hanoi, in the premises of TLU 5th floor, A1 Building, Thuy Loi University, 175 Tay Son Street, Dong Da District, Hanoi. It may imply travels in Vietnam to meet researchers and partners.

Indicative remuneration and duration
Depending on the candidate’s profile, experience and requests, an individualized and attractive proposal will be made after the interview. The initial duration is 1 year, but the position will be renewable until the termination of ACROSS if both parts are satisfied.

Competences

• Excellent communication, writing and editing skills: ability to write persuasively and
• Advanced skills in MS Office Products (Word, PPT, Excel) to support documents preparation
• Ability to work under pressure to meet deadlines and to quickly adapt to multiple priorities
• High attention-to-detail and organized, especially in administrative tasks
• Independence and rigor
• Proven ability to work in a multilingual and multicultural environment
• Spoken and written languages: Vietnamese and fluent in English are mandatory. French would be a plus.
• Curiosity for research activities in social sciences and interdisciplinary aspects would be highly appreciated

Degree and experience

• At least a bachelor degree with some experience in international cooperation
• Minimum of one year or experience in research projects proposal writing or research team management
• Experience in coordinating multidisciplinary international projects would be a plus
